This Privacy Policy explains how JobTek Ltd (“JobTek”, “we”, “us”, “our”) collects and uses personal data when you use JobTek’s websites, applications, and related services, including www.jobtek.com, app.jobtek.com, jobtek.net, JobTek’s mobile apps, and any related APIs or hosted services (the “JobTek Services”).

2. Controller and Processor Roles

Controller: JobTek is the controller for personal data about account holders/admins, billing contacts, app users and website visitors.

Processor: For personal data you collect from your customers through JobTek (e.g., enquiry forms on jobtek.net or email handled through JobTek’s relay), you are the controller and JobTek acts as your processor under JobTek’s Data Processing Addendum (available on request at info@jobtek.com).

Single Sign‑On (SSO) Providers – You may sign in with Apple, Google, or Microsoft. Each provider acts as an independent controller for authentication data.
3. Data JobTek Collect

Identity & Contact: name, business name, email, telephone, billing address, user IDs.

Account & Usage: credentials, roles, permissions, feature usage, device info, IP address, browser, app version.

Customer/Enquiry Content (processor context): form submissions, inbound/outbound emails, attachments, message metadata.

Billing & Transaction: plan, invoices, payment confirmations (no full card storage by JobTek).

Technical & Analytics: cookies, logs, performance, diagnostics.

We do not intentionally collect special‑category data. If you provide others’ data, ensure you have a lawful basis and that they are informed.

When acting as a processor, JobTek processes your customer data only per your documented instructions.

7. Payments
JobTek uses Stripe Payments Europe, Ltd. (1 Grand Canal Street Lower, Grand Canal Dock, Dublin 2, Ireland) to process subscription payments securely.
JobTek does not store full payment card details. Stripe may act as an independent Controller for certain payment and regulatory activities. JobTek receive only limited transaction metadata such as the payment amount, status, and reference ID.

8. Email & Messaging
JobTek uses Twilio SendGrid, a trusted email delivery and messaging platform, to send and receive emails and deliver system alerts and notifications.
Message content, sender and recipient details, and delivery metadata are processed solely for the purpose of transmitting and managing these communications. For customer emails, you remain the data Controller and JobTek acts as your Processor.
Twilio processes message data only as necessary to deliver the communications and does not access or use it for any other purpose. For further information, see the Twilio Privacy Notice.
Messages and emails may also be sent from within the JobTek application as part of normal service operation; they are not limited to public enquiry endpoints.
9. Location and Address Search
We use Google Maps Platform for address lookup and autocomplete. Your input may be transmitted to Google. See Google’s privacy policy for details.
In addition, JobTek may collect or use GPS location data from your device to:

calculate estimated travel times (ETAs) to bookings,

assist in allocating bookings or resources based on location, and
-
record GPS coordinates and timestamps when certain actions are carried out (for example, starting or finishing a job) to provide audit logs and activity history.
This information allows users and administrators to view when and where actions occurred for legitimate operational and accountability purposes.
Location data is processed on the basis of legitimate interests and performance of contract, and is retained only as part of job or activity records in accordance with JobTek’s data retention policy. It is not used for continuous tracking or monitoring beyond these purposes.
10. Push Notifications
The JobTek mobile app uses Apple Push Notification Service (APNs) for iOS and Firebase Cloud Messaging (FCM) for Android to deliver real‑time alerts about jobs, bookings or enquiries.
Push notifications may include limited job or customer details necessary to identify the relevant update and are transmitted securely through Apple’s and Google’s systems.
JobTek does not store or control any data within those push services beyond what is necessary to transmit the notification. All job, booking, and customer information referenced by a notification is maintained within the JobTek Services under this Policy.
11. Service Providers and Sub‑processors
We share data with trusted providers who support JobTek’s operations, including:

Website Hosting and Wix Website Management Access

The www.jobtek.com marketing site is hosted and operated using Wix.com Ltd (“Wix”), which provides website hosting, analytics, and cookie consent tools. Wix acts as JobTek’s data processor for this site. For details on how Wix handles data, see the Wix Privacy Policy. This website is maintained by KopyKat Marketing and Communications Ltd (“KopyKat”), who have administrative access to our Wix platform for the sole purpose of website management and maintenance. KopyKat does not process or use personal data for any purpose other than maintaining site functionality and performance, and operates under JobTek’s instructions and confidentiality obligations. 12. International Transfers
Where data is processed outside the UK/EEA, JobTek implement appropriate safeguards (e.g., UK IDTA, SCCs). Contact JobTek for details.

13. Security
We employ technical, administrative and physical controls (e.g., TLS in transit, access control, monitoring). No system is completely secure; keep credentials safe and notify JobTek of any suspected compromise.

14. Retention
We retain data as needed to provide the Services and meet legal or accounting obligations, typically up to seven (7) years after account closure. Processor data is handled per your instructions and JobTek’s DPA.

15. Your Rights
Under UK GDPR you may have rights to access, correct, delete, restrict or object to processing, data portability, and to withdraw consent. You may also complain to the ICO. Contact info@jobtek.com; JobTek may verify identity before acting.

16. Marketing
Unsubscribe at any time via the link in JobTek’s emails or by emailing info@jobtek.com. Essential service notices will still be sent.

17. Children
The Services are for business use and not directed to children under 16.

18. Third‑Party Links
We are not responsible for the privacy practices of third‑party websites linked from the Services.

19. Changes to this Policy
We may update this Policy. Revised versions will be posted here with a new “Last updated” date at the top.
